Privacy Policy

Last updated: 6 October 2026

This policy explains what information Super Comparer collects, why, who we share it with, how long we keep it, and how you can access or delete it. It is a separate document from our Terms of Use.

1. Who we are and what this policy covers

Super Comparer is a document comparison service for lawyers. If you are located in the United States, it is provided by Syntheia (US) LLC, a Delaware limited liability company, 16192 Coastal Highway, Lewes, Delaware 19958, USA. If you are located outside the United States, it is provided by Syntheia Pty Ltd, [CONFIRM: country of incorporation, company number and registered address]. In this policy, "Syntheia", "we" and "us" mean whichever of these companies provides the Service to you.

This policy applies to all of the ways you can use Super Comparer (together, the "Service"):

  • the Super Comparer web app at app.us.supercomparer.com;

  • Super Comparer for Outlook, our add-in for Microsoft Outlook (the "Outlook add-in");

  • Email-to-Compare, when you send documents to start@supercomparer.com;

  • the Super Comparer MCP connector for AI assistants;

  • our website at supercomparer.com and its subdomains; and

  • your communications with us, including support requests.

If your organization has signed an agreement with Syntheia for enterprise access, that agreement (including any data processing terms) governs how we process content on its behalf, and prevails over this policy where they differ.

2. The short version

  • We process your documents and emails only to give you the comparisons you ask for.

  • Your workspace is private to you. It is not shared with other users, including colleagues at your organization.

  • Super Comparer does not use generative AI to compare documents, and we never use your content to train any AI or machine-learning model.

  • We do not sell your personal information or use your content for advertising.

  • Our staff do not access your content unless you give us written permission, for example to resolve a support request.

  • You can delete your files at any time, and ask us to delete your workspace or account.

3. Information we collect

Account information. Your name, email address, organization name, sign-in details and subscription status.

Content you submit. The documents, emails, email threads, attachments and pasted text you submit for comparison, and the comparison results we produce (together, "Content"). Content can include personal information about other people, such as the senders and recipients of an email or people named in a document.

Billing information. Payments are processed by Stripe. We do not receive or store your full card number. Stripe shares limited details with us, such as card type, last four digits, billing address and transaction history.

Usage and device information. We may use product analytics tools to understand how the Service is used and to improve it. These collect information such as the screens and features you use, clicks, timestamps, browser and operating system, IP address and error reports. If an analytics tool records sessions, we configure it to mask text, so the content of your documents and emails is not captured.

Website and communications. Information you give us through forms on our website, such as demo bookings and support requests, and the correspondence you send us.

Cookies and similar technologies. The web app and Outlook add-in use cookies and similar technologies that are needed to keep you signed in, and may use them for analytics. Our marketing website at supercomparer.com may also use analytics and advertising technologies from third parties, such as tags from advertising or social media platforms, to measure visits and the effectiveness of our marketing. These website technologies never receive your Content. You can block or delete cookies in your browser settings, but some features may stop working.

4. Super Comparer for Outlook and Microsoft Graph

This section explains how the Outlook add-in accesses your mailbox.

Signing in. You sign in with your Microsoft account, either a work or school account or a personal Microsoft account. Microsoft handles the sign-in. We never see or store your Microsoft password.

Permissions we request. The add-in asks Microsoft for these permissions to Microsoft Graph, Microsoft's interface to your mailbox:

  • User.Read: to read your name and email address, so we can link Outlook to your Super Comparer account.

  • Mail.ReadWrite: to read the email, thread replies and attachments you choose to compare, and to add comparison results to an email you are writing, by inserting text or attaching files.

  • Standard sign-in permissions (openid, profile, offline_access): to keep you signed in.

What the add-in reads. The add-in reads mailbox data only when you use a feature. It then reads only what that feature needs: the selected email, its thread, its attachments, or text you paste. It does not scan your mailbox. It does not read or send anything when you simply select a different email. If we change this, we will update this policy before the change takes effect.

What is sent to us. The Content needed for the feature you used, together with your name and email address, is sent to Syntheia's servers over an encrypted connection. It is stored in your private workspace so you can return to your comparisons in Outlook and in the web app.

What the add-in writes. The add-in changes your mailbox only when you tell it to: when you insert comparison text into an email you are writing, or attach a comparison file to an email. The add-in never sends email by itself; you decide whether and when to send. It does not delete or move your messages.

Microsoft access tokens. The tokens Microsoft issues to the add-in are held only in your Outlook session. They are not stored on our servers.

Limits on how we use Microsoft data. We use data obtained through Microsoft Graph only to provide the features you request. We do not sell it, use it for advertising, use it to build profiles of you or anyone else, or use it to train AI or machine-learning models. We share it only with the service providers described in section 6, and only to run the Service.

Organization-wide consent. In some organizations, an IT administrator grants these permissions on behalf of all users. Our support page explains how.

Removing the add-in. Removing the add-in from Outlook stops any further access to your mailbox. It does not delete your workspace, because the same workspace is used by the web app. To delete your data, see section 8. To revoke the Microsoft permissions as well, follow the steps on our support page.

5. How we use information

We use information to:

  • provide the Service: run the comparisons you request, store your results and deliver them to you;

  • manage your account and subscription, and send service notices such as trial expiry, renewal and inactivity warnings;

  • respond to support requests (we access your Content only with your written permission);

  • keep the Service secure, prevent fraud and abuse, and enforce our Terms of Use;

  • improve the Service, using usage information, not your Content;

  • send you news about Super Comparer, which you can opt out of at any time; and

  • comply with the law.

Super Comparer does not use generative AI. Comparisons, and text recognition (OCR) for scanned documents, are performed by our own software, using the actual text of your documents. We never use your Content to train any AI or machine-learning model. If you want to ask questions about your documents with an AI assistant, you can connect an assistant of your choice through our MCP connector; see section 6.

6. Who we share information with

We do not sell personal information, and we never use or share your Content or data obtained through Microsoft Graph for advertising. We share information only as follows.

Service providers. We use carefully selected service providers to run the Service. They process information only on our instructions, under contracts that require them to protect it and to use it only to provide their services to us. The providers we use, and the services they provide, may change over time. They fall into these categories:

  • Cloud hosting and storage: hosting the Service and storing your Content. Content is stored in the United States.

  • Payment processing: processing subscription payments. We do not receive your full card number.

  • Email services: receiving documents sent to Email-to-Compare, and sending account and service emails.

  • Analytics: helping us understand how the Service is used, with text masked.

  • Customer support tools: managing and responding to support requests.

  • Website hosting: hosting our marketing website and its forms.

You can ask us for a current list of the providers we use by emailing privacy@supercomparer.com.

At your direction. When you connect the Super Comparer MCP connector to an AI assistant, such as Claude or ChatGPT, the Content you ask it to retrieve is sent to that assistant's provider and is governed by that provider's terms and privacy policy. When you email a comparison result, it goes to the recipients you choose.

Syntheia group companies. Syntheia (US) LLC and Syntheia Pty Ltd work together to provide the Service, and share information with each other for that purpose, under this policy. Staff of Syntheia group companies, including staff located outside the United States, may access information where needed to provide, operate and support the Service. They access your Content only with your written permission, as described in section 5.

Legal reasons. We may disclose information if required by law, court order or a government request, or where necessary to protect the rights, safety or property of our users, Syntheia or others. Where the law allows, we will tell you before disclosing your Content.

Business transfers. If Syntheia is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction. The recipient must continue to protect it in line with this policy, and we will notify you before your information becomes subject to a different policy.

7. Where your information is stored and how we protect it

Your Content is stored on DigitalOcean servers in the United States. Data is encrypted in transit and at rest. Each user's workspace is kept separate from every other user's. Access by our staff is restricted, logged and limited to what is needed to run the Service.

Syntheia is certified to SOC 2 Type II and ISO 27001. You can review our security practices in our Trust Center.

If a security incident affects your personal information, we will notify you and, where applicable, your organization without undue delay, and as required by law.

8. How long we keep information, and deleting it

We keep information only as long as we need it for the purposes in this policy:

  • Content (documents, emails, attachments, results): until you delete it, or until your account is deleted.

  • Account information: until your account is deleted.

  • Deleted data in backups: removed within 30 days of deletion.

  • Billing and tax records: 7 years, as required by tax law.

  • Usage analytics: up to 24 months.

  • Server logs: 90 days.

  • Support correspondence: 3 years after the request is closed.

We may change these periods when our business or legal requirements change. If we do, we will update this policy.

Deleting files. You can delete individual files at any time in the Documents app within Super Comparer. Deletion takes effect immediately in the Service.

Deleting your workspace or account. Email support@supercomparer.com from the email address on your account, or use the form on our support page, and ask us to delete your workspace or close your account. When we delete them, we delete your Content and account information within 30 days, apart from billing records we must keep by law.

When you stop using Super Comparer. If your account is inactive for an extended period (currently 12 months without a sign-in), we will email you before deleting it. If you do not respond within 30 days, we will delete your account and all of its Content. We may change the inactivity period, and will update this policy if we do.

Uninstalling the Outlook add-in. Removing the add-in does not delete your data, because your workspace is also used by the web app. If you have stopped using Super Comparer altogether, please ask us to delete your account as described above.

Requests from your organization. If your organization pays for your account, its administrator may ask us to delete that account. We verify that the request comes from the paying organization before acting, and we notify you.

9. Your rights and choices

Wherever you live, you can ask us to:

  • give you a copy of the personal information we hold about you, in a portable format;

  • correct information that is inaccurate;

  • delete your information, or restrict or stop a particular use of it;

  • stop sending you marketing emails (you can also use the unsubscribe link in any marketing email); and

  • explain how we process your information.

To make a request, email privacy@supercomparer.com or use the form on our support page. We will verify your identity and respond within 30 days. If we decline a request, we will explain why, and you may ask us to reconsider.

Residents of California and other US states with consumer privacy laws may have additional rights under those laws, including the right to use an authorized agent. We honor these rights for all users. We will not treat you differently for exercising them.

You can withdraw the Microsoft permissions the Outlook add-in uses at any time, by following the steps on our support page.

10. Users outside the United States

Your Content is stored in the United States. It may be accessed from other countries where Syntheia group companies or our service providers operate, including by Syntheia Pty Ltd for users outside the United States. Where the law requires, we put appropriate safeguards in place for these transfers.

11. Children

The Service is for professionals and is not intended for anyone under 18. We do not knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.

12. Changes to this policy

We will post any changes on this page and update the date at the top. For material changes, we will notify you by email or in the Service at least 30 days before they take effect.
